Trainee Management System Environments
Competenz operates a CRM product called people. for ITO to manage data related to qualifications and Learners. This is broadly labelled as TMS (Trainee Management System) and has two environments, Production and Test. The Production Environment is the real Competenz data. The Test Environment is a replica of the production environment - it is worh noting that making changes in the Test environment does not affect the real data in the Competenz Production environment.
The Production environment is your daily go to CRM to do your job. The Test environment is accessed only if you are a new starter wanting to train or there is a new release for TMS, when ICT will usually ask some users to do UAT testing.
The Production environment is ready to use 24/7, however there are sometimes maintenance periods where the system is being updated. In this event, email notifications will be sent to all staff in the business advising of when the maintenance period will start and finish.
The Test environment is only turned on if there is a valid request for us to do so, or when performing business-related testing of new upgrades and enhancements to the TMS system.
How to change the Environment in TMS:
When you start TMS, below is the first screen you see:
This drop-down gives you the option to choose which environment you want to use, in this image you can see you have Production1, Production2 and Test environment. (Production1 and Production2 both point to the same production data, so doesn’t matter which is selected, unless explicitly asked by IT team)
Once you select the environment you want, you can check the ‘Remember my Preference’, so you don’t you have select every single time, as shown below:
Next, you click ok, and on to your credentials bit (which will be covered in a different topic).
Once you have entered your credentials, you will be logged into TMS.
How to change the environment if I have already saved it?
If you have checked ‘Remember my preference’ from above, everytime you open TMS, you will not be seeing the option to select the environment anymore. However, if you need to change the environment, follow below steps:
- Open TMS (In whatever environment you saved), and click on ‘Options’
- Click on the ‘Startup’ tab on the options window
- Check the ‘use of following preference(s) while starting the application’ if not already checked
- Choose the environment you are needing and click ‘Apply’
Then close ‘TMS’ and start it again, you will see the option to change environment is showing again.
