Overview of this guide
This User Guide has been created to provide you with some tips and tricks on how to use your Android mobile phone. This ranges from some initial setup steps to standard operations on the phone. Please ensure that you read through this document if you are uncertain of any use or features on your Android phone, prior to logging a ticket with the ICT team for support. At the time of writing, the preferred model of Android phone is a Samsung phone. Throughout this document you will see references to your “Android phone” and your ”Samsung phone” – these are interchangeable, but some items (such as Samsung apps) are only available on this model of phone. If the model of phone changes in future due to stock availability, this document will be updated to reflect that.

General Information
Competenz is moving to using Android mobile phones as the standard issue for staff as per the updated Mobile Device Policy approved and published in May 2020. The company mobile phone is for use by staff of Competenz only, and all policy requirements around Appropriate Use must be adhered to. The mobile phone is to be used for making calls, accessing internet browsing and accessing email, along with other applications that are available for Competenz staff such as Office 365.
How to setup email on your Android phone
To set up your email and contacts you just need to find and open outlook application on your phone, you can do this by swiping up on the home screen of your phone. The icon looks like the below picture.
Open this application and it will ask which mail account you would like to setup, select office 365 and login with the below details:
<username>@local.competenz.org.nz and the password is your password used to login to your laptop.
After that it is just a series of clicking okay and allow and then it will start syncing all your emails to your phone.
How to sync contacts and calendars on your Samsung
· On your Android device, open Settings, tap Apps (or Applications).
· Tap Outlook.
· Under App Settings, tap Permissions.
· Toggle the Contacts and calendars switch to enable it (if disabled).
· Next open the Outlook app and go to Settings by clicking the picture of yourself in the top left-hand corner and the tapping the cog icon in the bottom left of the screen.
· Tap your email address that appears on screen and then enable Sync Contacts
Installing Apps on Android
Unfortunately, you are unable to transfer any of your apps from an iPhone to a Samsung because it uses a completely different app store, so all apps will have to be downloaded again one by one. In order to do this, you will need to login to the play store by creating a google account. The play store icon looks like below:
When you open up the play store for the first time it will ask you if you have a google account or if you would like to create one if you already have one just login If you don’t please click create account if you intend to download apps if not you will not be able to do so.
Unlocking the phone
To unlock the phone, you can do it a few different ways depending on your preference. You can click the lock button the right hand side of the phone or you can double tap the screen and then swipe up and either enter your pin code that you have set or it will open automatically with face recognition if you have set this up.
Transferring Photos & videos from iPhone to Android
Download Google Photos on your iPhone and login with the google account you used to setup your Android mobile. Once this is installed and you are logged in, it will automatically sync all your photos and videos from your iPhone.
Once it has finished syncing all photos/videos you will need to find your google photos application on the Android phone. You can do this by swiping up on your home screen, the application looks like the below picture and is already installed on the phone.
Login to google photos using your previously created google account if it hasn’t logged you in automatically. Your photos and videos will begin automatically syncing to your phone.
How to take a screenshot with a Samsung mobile
To take a screenshot on a Samsung mobile you need to press the power button and the volume button simultaneously and it will capture whatever you are currently looking at on the phone and save it to your photos. Screenshots are available to view in the Photo Gallery.
Answering/Dismissing Calls on an Android phone
To Answer or Dismiss a call you just need to press the Green or Red Phone icon when your phone is ringing and then swipe upwards.
How to get into Settings
On the home screen of the phone swipe downwards from the top of the screen and the settings icon is a cog in the top right-hand corner.
Set your default web browser:

On your Android, open Settings by swiping from the top downwards on your home screen the icon looks like a cog in the top right-hand corner

- Tap the Apps button

Tap the web browser that you installed

Tap browser app and select the browser that you installed, all internet-based links or document downloads will now automatically open with this app
Applications to be installed
The ICT team will endeavour to make sure that these apps are installed for you, however if you find that they are not there, it is recommended that these are installed:

How to Setup the Lock Screen
The Lock Screen is what you see when turning on the phone, before unlocking it.
Launch the Settings app > Lock Screen
Select Screen lock type Touch your preferred Lock screen type.
Enter your passcode and tap Continue when finished.
You will then need to reconfirm your passcode, re-enter your passcode and tap OK once complete.
Customise and control how you would like your notifications to be displayed on your lock screen, once complete tap Done.
How to setup Facial and Fingerprint Recognition
Once you've created your primary security lock type, head into Biometrics and security from the Settings
Select Face recognition and re-enter your primary lock screen passcode to proceed to the next step.
Tap on the Continue button to start creating your Face ID.
Select Yes or No if you are wearing glasses then tap Continue.
Position your whole face in the box shown on the screen to complete the registration.
If your face is too close or too far from the camera your Face ID may not be recognised.
Ensure there is a sufficient amount of light in the environment and there is nothing obstructing the camera's view to successfully register your Face ID. If you are experiencing issues registering your Face ID try cleaning the camera lens with a soft cloth and repeat the above steps.
Once your face has been successfully registered, toggle on or off your preferred Useful Features and tap OK.
Head back to the Biometrics and security settings and select Fingerprints. You will need to re-enter your primary lock screen passcode to proceed to the next step.
Place your finger on the fingerprint scanner, then lift it off until the scan has reached 100%.
When you are finished registering your fingerprints, tap Done.
Deleting the registered face data
On the Settings screen, tap Biometrics and security → Face recognition
Unlock the screen using the primary screen lock method.
Tap Remove face data → Remove.
Once the registered face is deleted, all the related features will also be deactivated.
Deleting registered fingerprints
On the Settings screen, tap Biometrics and security → Fingerprints
Unlock the screen using the primary screen lock method.
Select a fingerprint to delete and tap Remove → Remove
How to Sync Outlook and Personal Calendars
Open the calendars app on your phone and then click the three lines in the top left-hand corner of the screen. Then click the settings icon on the top right of this drop down that has opened
Select add new account. Then select the option for Exchange.
Enter your email address as the following <username>@local.competenz.org.nz and click next. On the next screen enter your password and click sign in.
Click Remember on the sign-in information notification that pops up and then click Accept.
On the last screen enter your email address, domain/username and server as show in the screenshot below. Click Next and then Done and your personal calendar and outlook calendar will sync together.
