INTRODUCTION
Finance provide P&L Reporting so that employees with budgetary or management responsibilities can review the actual performance of their area(s) of responsibility against the budget.
Finance will maintain a register of staff and the teams that they are granted access to P&L Reporting for.
Finance will notify by email the applicable staff when month-end processing is complete and that they will now be able to access their most recent P&L Report(s).
A link will be included in the email to the BI reporting site, however staff are recommended to ‘bookmark’ the site.
REPORT OVERVIEW AND NAVIGATION
When first accessing the report and clicking on the ‘View Report’ button the summary view is displayed as below.
Options for selecting Department and Team are dependent on the users permissions.
The month will default to the most recent reporting month, but can be changed to any previous period for the current year.
Click on ‘View Report’ to redisplay the report once any selection criteria have been changed.
The following functionality as displayed in the screenshot below is available on all reports to facilitate navigation back and forward between reports.

No 1 allows for paging through multiple pages.

No 2 allows for going back to the previous report. All parameters will be passed between reports so there is no need to reselect the parameters.

No 3 allows to either zoom in or out – accessibility option
Clicking on the icon for ‘Show detailed report by GL account’ will then give a full P&L view as displayed below.
A drill through action is available on the “Actual” value for the current month – the mouse will change to hand symbol, and a report will be produced as shown below.
Please note that in order to display the “Selection bar” at the top of the report you will need to click on the little arrow icon, you can then change the selections (depending on your permissions) and then click on the ‘View Report’ button to display the report.
The selection criteria that can be changed are:
- Month – multiple months can be selected
- Department and Team – depending on your permissions
- GL Code and Name – only GL accounts that have transaction lines will be displayed and be able to be selected
The data displayed can be exported to Excel, please do not use any other export option other than Excel. Select no 1 to dropdown export options. Select no 2 for Excel as the export option.
After selecting “Excel” as the export option a window will pop-up allowing you to save the output .xlsx file to your preferred folder. Once selected your browser will allow you to open the exported data in Excel. The file name will remain as per No 1. Select your folder to save the export No 2 and click on save No 3.
